How to Get Interviews:

Many job seekers in Ethiopia get frustrated because they apply to many places, but never get called for interviews. This is happening to many job seekers applying for various jobs in Ethiopia through job portals such Ezega Jobs, EmployEthiopia, EthioJobs, Mjobs, etc. In many cases, the reasons are simple and common.

Regardless of whether you are applying from mjobs or employethiopia or any other, the hiring manager normally gets many resumes to review. The number one question in the mind of the hiring manager is who among the many applicants can best handle the job at hand. The only way to tell prior to interviews is through resumes and cover letters. The hiring manager would normally look for someone who has done something similar or at least one who showed interest in the work being advertised. If your cover letter so generic (the same for all jobs), you will be talking about something else not related to the job you are applying - which means, in the eye of the hiring manager, you are not suitable for the job you are applying. So, it is extremely important that you edit the cover letter for each job you are applying to show interest in the job, and to mention something related that you have done or studied in the past. The main point is that you are conveying a message to the hiring manager that you understand what the job needs and you have done or studied something related to the job you are applying.

Dugda Children’s & Family Charitable Organization (Dugda CFCO) would like to recruit interested and qualified applicants for the position of Grants and finance Manager for its USAID Ethiopia funded HIV Epidemic Control (OVC) Program implemented by Dugda CFCO in partnership USAID Ethiopia.

Terms of Employment:- one year with the possibility of extension based on performance & availability of funds.

Position Description
The Grants and Finance Manager will be responsible for overseeing the grants management of the HIV epidemic control program. The Grants and Finance Manager will provide lead administration leadership for the management of the Fixed Award. S/he will develop and implement Fixed Award management systems and monitor Dugda CFCO’s compliance with award terms and conditions and Dugda CFCO policy.

I. Grants Solicitation and Evaluation.
• Lead the preparation of the grants solicitation workshops, and other orientation sessions taking place, as assigned.
• Contribute to answering questions and taking notes during the solicitation workshops and questions received throughout the request for clarification period.
• Organize and coordinate the Grant Evaluation Committees, as assigned.
• Report to successful and unsuccessful applicants, as assigned.
• Support projects’ funding proposals: assist with budgets, review proposals, provide supporting documents.
• Ensure complete documentation of funding awards.
• Work with OVC project staff to comply with funder’s terms and conditions, manage deliverables, monitor spending, request amendments, and plan spend-out.
II. Grant Due Diligence
• Liaise with short-listed grantees to finalize budgets and budget narratives, ensuring that all costs are reasonable and necessary; obtain documentation to support budgeted costs for payroll, rent, utilities and other shared or unique costs.
• Work Closely with Organization finance and Program department to bring quality of work.
• Support budget creation, budget projections and analysis of expenses as needed..
• Prepare, review and distribute monthly reports, funder reports and others. Document and address issues requiring attention and/or further discussion.
• Analyze and monitor projects’ fund and cash balances and keep project and OVC team informed of status, issues.
• Work with Finance staff to ensure timely and accurate processing of payables, deposits, and billings.
III. Training and Monitoring
• Participate and/or deliver sections of grant management training, as requested.
• Follow up with and support the assigned duties to ensure that the grant is implemented according to the grant agreement, work plan and timeline.
• Work with the Finance Team to ensure that all financial transactions are correctly administered and that all vouchers and grants are processed in a timely and efficient manner
• Work with the QM/QI team and other relevant teams to identify the kind of technical support that might be needed to ensure the proper implementation and impact of the Program.
• Conduct field visits to the Sub national Units and participate and attend key events and activities as agreed upon with the Senior Team Leader.
IV. Knowledge Management System (KMS)
• Maintain the grant data in the database is accurate and up to date, in addition to ensuring that all M&E information related to assigned grants and partnerships is up to date, accurate and complete
V. Other
• Supervise and work with the OVC finance team, OVC program coordinator, MEL Officer, and Quality improvement officer.
• Provide guidance to Finance and Program team.
• Contribute to collecting and submitting the monitoring and evaluation data as required by the USAID M&E plan.
• Participating in trainings, workshops, and conferences, as requested.
• Any other tasks assigned by the supervisor as necessary.
• Lead an internal audit together with finance and technical teams.

Minimum Requirements:
• MA/BA in Business Administration, Finance, Accounting or related field.
• Minimum of 3 for MA and 5 for BA/BSC of experience in contracts and grants administration.
• Experience in coordinating issuing of sub-awards, consultancies, and other contractual arrangements.
• Working knowledge of award management and sub-award requirements of USAID and other donors
• Ability to work well with others to develop and maintain compatibility among project staff, consultants and local NGO and CBO partners.
• Excellent communication skills in Afan Oromo, Amharic and English;
• Excellent oral and written comprehension skills
• Good computer and typing skills, ability to use Word, Excel, and Peachtree and other accounting software.
