How to Get Interviews:

Many job seekers in Ethiopia get frustrated because they apply to many places, but never get called for interviews. This is happening to many job seekers applying for various jobs in Ethiopia through job portals such Ezega Jobs, EmployEthiopia, EthioJobs, Mjobs, etc. In many cases, the reasons are simple and common.

Regardless of whether you are applying from mjobs or employethiopia or any other, the hiring manager normally gets many resumes to review. The number one question in the mind of the hiring manager is who among the many applicants can best handle the job at hand. The only way to tell prior to interviews is through resumes and cover letters. The hiring manager would normally look for someone who has done something similar or at least one who showed interest in the work being advertised. If your cover letter so generic (the same for all jobs), you will be talking about something else not related to the job you are applying - which means, in the eye of the hiring manager, you are not suitable for the job you are applying. So, it is extremely important that you edit the cover letter for each job you are applying to show interest in the job, and to mention something related that you have done or studied in the past. The main point is that you are conveying a message to the hiring manager that you understand what the job needs and you have done or studied something related to the job you are applying.

You may also edit you resume for each job you are applying to highlight any study or work you have done that is a requirement for the job. That way the hiring manager doesn't have to look hard to find it. Remember, hiring managers barely have a few minutes to spend on each job application. So, putting up front or highlighting the relevant skills or knowledge you have increases your chance of getting called for interview.

Also, please answer any questions the hiring manager is asking in the vacancy announcement. If it was asked that you must have certain computer skills, please state that in your cover letter and resume. If the vacancy post asks to state your typing speed in words per minute, you should state that in your cover letter. If you ignore any requests or questions like these that the job post requests, it means you are not giving any attention to details of the job application requirements, and the chances of you getting called for interview becomes very low.

The African Disability Forum (ADF) is the continental membership organization of Organizations of Persons with Disabilities (DPOs) in Africa. As of March 2019, ADF membership included national DPO federations in 44 countries, 4 sub-regional DPO federations and 9 continental DPOs. The ADF Office is located in Addis Ababa, Ethiopia and focuses on regional advocacy, communications and member organizational development and capacity-building activities.

ADF wants to hire a Finance officer for Addis Ababa Office
Finance and Admin Officer
To process the financial transactions to facilitate accurate income and expenditure reporting to support the projects and programs within the ADF.

Duties and responsibilities
He/she will have the following duties and responsibilities:
• Process expense claims by receiving and verifying the accuracy and completeness of the expense claim, allocating to the correct cost code, verifying against budget and processing for payment weekly.
• Identify any anomalies or potential issues by reviewing all claims or invoices, confirming with line managers or relevant authorities and extracting any queries for further investigation weekly.
• Ensure transactions to verify accuracy of allocations by pulling relevant reports and analysing captured data and correcting any errors weekly.
• Process the bank reconciliations by reconciling in the accounting system, addressing and resolving any issues and implementing corrective action weekly.
• Prepare invoices by receiving requests, verifying requests against contracts with budget lines and submitting invoices as required for approval.
• Monitor receipts by tracking receipt of funds against the invoices, follow up on outstanding funding and reporting on funding status monthly.
• Prepare payment packs by collating compliant and approved supplier invoices and facilitating the bank transfer.
• Manage the banking administration requirements by engaging with the bank, preparing relevant forms and documents, filing bank statements and other banking documentation and general administration as and when required.
• Frequent follow up with Implementing partners, collect monthly report and analyse the document along with reports as per the contractual agreement.
• Post the transactions on the QuickBooks Online accounting system daily basis, prepare and submitting reports per agreed deadlines weekly, monthly, quarterly and annual reports.
• Prepare for grant audits by collating relevant documentation, filing into the relevant structures and submitting as per the grant agreement requirements.
• Respond to all audit requirements by extracting requested documentation and information, accessing and extracting relevant reports and engaging with the auditors annually.
• Prepare for payroll processing by notifying and reminding staff for payslip submission deadlines, collecting all required documentation and preparing file for capturing monthly.
• Prepare the payroll register by capturing salary information and any other relevant claims into the payroll register and submitting for approval monthly.
• Collect all new employee or changes to employee information by collecting the signed contracts and information sheets for processing in the payroll monthly and update the personnel file accordingly.
• Ensure the properly maintained the individual HR files by receiving and filing all documentation in a hard and soft copy of the ADF archive and reports as well as tracking outstanding documentation monthly.
• Ensure the properly maintained and file the time sheet along with employee personnel file on a monthly basis.
• Manage debtors and creditors age analysis by reviewing relevant reports, reviewing and resolving any long outstanding issues and escalating when relevant monthly.
• Manage the cash flow of the organisation by preparing the cash flow management report, capturing all potential revenue and expenses and submitting monthly.
• Assist in the development of working procedures, schedules, formats, etc. for efficient financial operations.
• Ensure the effective of the office rent claims in a quarterly based and check with the outstanding balances.
• Ensure and effect the monthly bills to be paid including utilities and communication.
• Ensure the settlement of government obligations monthly and closely follow up and effect the clearance.
• Perform clerical works related to accounting, administration and other duties as assigned by the immediate supervisor.

- Experience on working multi funded organizations

Skill
• Good English speaking and writing skill.
• Knowledge of French is added value.
